This Privacy Policy explains what data the MAB Accounting AI Chrome extension handles, where it goes, and how long it is kept. “We” and “us” mean MAB Consulting PH, the business behind MAB Online Academy, in Cavite, Philippines.
WHO WE ARE AND WHAT THE EXTENSION DOES
MAB Accounting AI is a Chrome extension for enrolled MAB Online Academy students who do bookkeeping in QuickBooks Online and Xero. It has these tools:
- Payee Analyzer: suggests the payee and category for bank and credit card transactions, using the client’s own General Ledger first.
- PDF to CSV: turns a bank or credit card statement PDF into a CSV file for import.
- More tools: the MAB Exclusive AI Tools built into the extension: Receipt to CSV, Instant Reconciliation, Audit Findings Generator, COA Generator (US, Australia, Canada) and Instant Pricing Calculator. The Payee Category Matcher and the Payee Category Analyzer for Australia and Canada are part of the Payee Analyzer.
DATA THAT STAYS IN YOUR BROWSER
Most of the work happens on your computer. The following are stored only in your browser’s extension storage and are never sent to us:
- General Ledger files you upload, and the booking history the extension builds from them
- Client names and client settings (country, industry, company vehicle, date order)
- Your payee and category rules for each client
- MAB AI answers saved so the same line does not use another credit
- PDF files you open; when a PDF has text, it is read in your browser
- Passwords for locked PDF statements
- Bank and book lines you load into Instant Reconciliation, and its results
- Your Audit Findings Generator and Instant Pricing Calculator answers, saved so you can continue later, and the reports they make
- Your email address, so the sign-in form is filled in next time
DATA SENT TO THE MAB SERVER AND OUR AI SERVICE PROVIDER
The extension talks only to our server at n8n.mabconsultingph.com, over HTTPS. It sends data only when you sign in or open the extension, ask for your access code, analyze lines, convert a PDF or a receipt, or generate a chart of accounts:
- Sign in, and when the extension opens: your enrolled email address, your access code and the extension version, to confirm you are an active MAB student and show your credits. You sign in once for all tools. Your access code is kept only for the current browser session and is cleared when you close Chrome.
- Payee Analyzer: only the lines your client’s General Ledger and your rules could not answer (date, bank description, memo, amount, and whether it is a bank or card account), plus the client’s country, industry and company vehicle setting, the client’s account names, and up to 60 short payee names from the same paste. This is used to suggest a payee and category using the MAB rules.
- PDF to CSV: the text read from the statement, about 5 pages at a time, or the PDF file itself when it is a scanned PDF with no text. This is used to list the transactions in the statement.
- Receipt to CSV: the receipt photo or PDF you choose (large photos are made smaller first). This is used to read the vendor, date, receipt number, items, VAT and total.
- COA Generator: the business name (optional), country and province, industry, entity type, accounting method, how the owner is paid, and your yes or no answers about the business. This is used to build the chart of accounts from the MAB COA rules. It is not sent to the AI service provider.
- Audit Findings Generator and Instant Pricing Calculator: the numbers and choices you enter, such as variances, revenue, transaction counts and package options. They are used only to calculate the findings or the prices. They are not sent to the AI service provider.
- Right-click “Analyze payee with MAB”: the text you highlighted, used the same way as the Payee Analyzer.
- Email me my code: your email address. If it is in our student list, our server emails you your MAB access code through Brevo, our email service.
Our server checks your access against our student records and keeps a count of the MAB AI credits you used this month.
Instant Reconciliation runs completely in your browser. What you load into it is never sent to us.
To produce the answers, our server sends the transaction lines, statement content or receipt to our AI service provider. It processes that data to return the answer, under its terms for paid API services.
HOW LONG WE KEEP DATA, AND WHAT WE NEVER DO
Transaction lines, statement content, receipts and the answers you enter in the tools are not stored after a request finishes. When a request fails, our server keeps its record for up to 14 days so we can fix the problem, then deletes it.
We keep your student record (email, name, status, access code, monthly credit count, reset date and when you last used MAB AI) for as long as you are a MAB Online Academy student.
We never:
- sell or rent your data or your clients’ data
- use it for advertising or to build profiles
- use it to decide anyone’s creditworthiness or for lending
- add tracking, analytics or ads to the extension
- share it with anyone except the services that process it for us (our AI service provider, and Brevo to email your access code), or when the law requires it
YOUR CHOICES, SECURITY AND CONTACT
- Delete a client’s data: open the client’s settings in the extension and choose Remove GL, Clear rules, Clear saved answers, or Delete this client.
- Delete everything in the browser: remove the extension from Chrome. Its storage is deleted with it.
- Stop sending data: sign out in the Account tab. Without signing in, nothing is sent to our server.
- Your student record: email us to see, correct or delete it. Deleting it ends your access to MAB AI.
All traffic between the extension and our server uses HTTPS. API keys stay on our server and are never stored in the extension.
The extension is meant for adults (18 and over) who are MAB Online Academy students or who bought MAB Accounting AI.
If this policy changes, we will update the date at the top of this page and tell students about important changes by email.
